Operations Administrator

Position Description: 

The ideal candidate will have a track record of outstanding management of day-to-day operations, including supporting a program or team, providing general office support, and supporting executive personnel as needed. This person will be a motivated leader who thrives on creating and sustaining a climate of inclusion, trust, and productivity. Ultimately, the Operations Administrator will be responsible for maintaining successful daily business practices in a dynamic environment. This position will interact with nearly every facet of the organization in support of a NASA program.  

 

Responsibilities

Program Functions:

  • Support HUNCH Program leadership.
  • Support financial reporting compliance and audit requests as needed.
  • Serve as the POC between HUNCH Program team members and company functions such as HR and Accounting, etc. 
  • Assist with tracking the status of requisitions, contracts, and orders using automated or manual files and through contacts with vendors, supply technicians, inventory managers, and engineers.

 

Office Functions:

  • Prepare presentations and reports as needed.
  • Provide general support to visitors.
  • Maintain the office conditions and arrange necessary facility requests.
  • Manage remote workforce needs.

 

Administrative Functions:

  • Provide a full range of administrative services to C-Suite personnel.
  • Schedule and organize activities such as meetings (internally / externally), company town halls, public appearances, etc.
  • Ability to make travel arrangements and detailed itineraries, both domestic and internationally.
  • Complete expense reports in a timely manner.
  • Must have professional discretion.
  • Track meeting discussions and provide follow-up action items, as needed.

 

Requirements

  • 4+ years of related experience in Administrative / Program Support.
  • Aerospace experience preferred.
  • Excellent proficiency in Microsoft Office products.
  • Ability to work with accounting systems or ERPs to identify, troubleshoot and understand financials. 
  • Strong oral and written communication skills. 
  • Prior experience supporting executive position(s).
  • Ability to build PowerPoint charts and slides.
  • Ability to work in a fast-paced environment with little to no supervision.
